uni-assist, explained for Pakistani applicants

A large share of German universities do not take international applications directly. They route them through uni-assist, a shared service that checks foreign qualifications on their behalf. If you are applying from Pakistan, there is a good chance your file goes there first.

The single most useful thing to understand is what uni-assist is *not*: it does not decide whether you are admitted. It checks and converts. The university decides afterwards — and sets its own rules about what uni-assist must receive.

What uni-assist actually does

uni-assist examines the documents you submit and answers a narrow question for the university: are these certificates genuine, do they come from a recognised institution, and what is this qualification worth in German terms?

  • It checks that your certificates are formally complete and plausible.
  • It converts your grades into the German scale so a German admissions office can read them.
  • It confirms whether your qualification gives access to the level you are applying for.
  • It then forwards the result to the university, which makes the actual decision.

A positive result from uni-assist is therefore not an offer. It means your file is now legible to the university — nothing more, and nothing less.

VPD — the version that comes back to you

Some universities ask you to obtain a VPD (Vorprüfungsdokumentation, a preliminary review document) and submit it yourself, rather than having uni-assist send its result onward. It is the same examination; the difference is who receives the outcome.

Whether you need one, and whether it is accepted for more than one application, depends on the university and on the German state. Read the requirement on the page of the specific programme you are applying to. Do not assume a friend’s answer applies to you.

Documents: the part that varies most

This is where Pakistani applicants lose the most time, because there is no single answer. What uni-assist and the university require of your certificates — plain copies, officially certified copies, certified translations, or documents sent directly by your institution — varies from university to university, and can vary between programmes at the same university.

  • Read the requirement for your programme, on the university’s own page, and follow it literally.
  • Where certified copies are required, find out who is accepted as a certifying authority for documents from Pakistan before you pay anyone.
  • Translations, where required, generally have to be produced by a recognised translator — not by you, and not by a friend who speaks German.
  • Names must match across passport, certificates and application. A middle name present on one and missing on another causes queries.
  • Never send originals unless they are explicitly demanded, and never laminate anything.

We cannot state a single document list here that will be correct for every case, and any guide that does is guessing. The list belongs to the university.

Fees and timing

uni-assist charges a handling fee per application, with a lower rate for further applications in the same semester. The exact amounts, and whether a given university covers them, change and are published on uni-assist’s own site — take the current figures from there rather than from a forum post.

  • The fee is for the examination, not for a result in your favour. It is not refunded if the answer is negative.
  • Processing takes time, and it takes longer in the weeks before a deadline when volume peaks.
  • A file that arrives incomplete is not examined until it is complete — the clock effectively restarts.

Plan on the basis that this step sits before your admission letter, which in turn sits before your visa file. Everything downstream waits on it.

Where Pakistani applications stall

  • Submitting to uni-assist when the university takes direct applications, or the reverse. Check which route your programme uses before you pay anything.
  • Sending what a different university asked for. The requirements are not shared between institutions.
  • Leaving it until the deadline month. Volume peaks exactly when you need speed.
  • Incomplete files. Missing one transcript stops the examination entirely.
  • Assuming a VPD is universal. Some universities want one, some do not, and reuse rules differ.

Requirements, fees and processing times at uni-assist and at individual universities change, and they genuinely differ from one institution to another — we cannot guarantee any figure here. Always confirm against uni-assist’s own pages and the page of the specific programme you are applying to before you send documents or pay a fee.

If you would rather have someone check which route your programme uses and what it needs before you submit, that is what our counsellors do.
